Frequently asked questions around DealCloser Intelligence and Cloe the AI assistant.
Where is the AI hosted and where is my data stored?
All data processing, including the models that power DealCloser Intelligence, are hosted in the same secure cloud environment as your firm’s existing DealCloser data. All inputs and outputs are stored within your region and jurisdiction - no data is sent outside of our private environment for processing or storage.
What information does DealCloser Intelligence store, and how is it indexed?
When you upload documents, Intelligence automatically classifies them and extracts key details - like party names, dates, obligations, and important terms. It also takes into account what’s happening in your DealCloser project, such as checklist progress and document status. All of this is securely stored and indexed so the system can understand the current state of your transaction and help you find information quickly, flag missing items, and provide useful insights as your deal moves forward.
How does DealCloser Intelligence keep our data secure and private?
All data is encrypted both in transit (TLS 1.2+) and at rest (AES-256). Intelligence is strictly isolated by customer and no data is ever shared across firms. Your data is never used to train AI models, and our LLM provider treats both inputs and outputs as ephemeral, meaning they are not stored, logged, or retained in any way.
Can we control where and how Intelligence is used in our workspace?
Yes. Intelligence is optional and can be turned on or off per transaction, allowing your firm to decide what gets processed and what doesn’t.
What can the AI assistant do?
- Identify and extract key data points and terms from uploaded documents
- Execute predefined workflows (e.g., document review, signature page detection, checklist creation)
- Answer questions about your transaction
- More capabilities being released on a regular basis
How accurate is the AI assistant? Can it make mistakes?
The AI assistant is highly capable but not perfect. To reduce the risk of mistakes, it always keeps you in the loop, showing its plan of action before making any changes. This allows you to review and approve its work, ensuring human oversight is always part of the process.
What should we do if the AI gives a wrong or misleading answer?
Even with oversight, the AI may occasionally provide incorrect or incomplete information. Because it confirms its plan of action, you’ll have the opportunity to catch issues before they affect your work. If you’re experiencing consistent low performance, please report it to DealCloser support so we can troubleshoot and resolve the issue.
Will the AI assistant ever access or share data from other firms?
No. Each firm has a completely private AI assistant. It only has access to your firm’s data and cannot see or interact with data from other firms.
